Purpose

Snives Hives Drive Archive is an internal business tool used by Snives Hives to store expense receipts and maintain an expense register.

Google Drive access

The tool requests access only to Google Drive files that it creates or that an authorised user explicitly opens with it. This access is used to create, store and organise receipt files and the associated expense register. It does not request access to unrelated Drive files.

Information handled

Receipt files may contain supplier, purchase, payment and tax information. The expense register may record the submitter, date, supplier, category, amount, GST, receipt link, status, Xero reference and notes necessary for business administration.

Use and disclosure

Information is used only for Snives Hives' internal expense administration, record keeping and accounting processes. It is not sold or used for advertising. Access is limited to authorised Snives Hives personnel and service providers only where needed to operate the system or meet legal, accounting or tax obligations.

Security and retention

Records are held in the authorised Google Drive account and protected by the account's access controls. Snives Hives retains records for as long as reasonably required for business, accounting and legal purposes.
